Property managers
How do you handle scheduling for inspections and maintenance services?
We integrate with your property management software (such as Rentvine, Buildium, AppFolio, or Rent Manager) to access property data and coordinate inspection months based on your preferences. Once owners are enrolled, properties are added to a rotation schedule, and we manage tenant notifications, visit coordination, and follow-ups to minimize disruption to your workflow.
What assistance do you provide during onboarding?
Our onboarding team manages the process end to end: sending addendums to owners, automated follow-up emails, courtesy calls for non-responders, and Q&A support. You grant software access, approve the addendum template, and confirm inspection months — we handle communications, signatures, and activations. You set how involved you want to be.
How do you document property conditions?
We conduct detailed biannual interior and exterior inspections and produce comprehensive Rental Property Condition (RPC) reports — typically 50+ pages via Zinspector — with tables summarizing areas, details, actions needed, comments, and photos. Reports cover safety, habitability, and tenant accountability with third-party documentation to support compliance and dispute resolution.
How do you report back after inspections or services?
After each inspection or maintenance visit, we provide a full report via Zinspector (integrating with your management software or portal where available), including photos, maintenance needs, and summaries of completed work. Escalated issues are flagged for your attention so you can share details with owners as needed.
How does billing work for the Preventative Maintenance Plan?
The plan is billed at a fixed monthly rate by you directly to the owner’s ledger in your management software. Payment is then remitted to Envision Property Services monthly.
What support do you offer for compliance and documentation?
RPC reports provide third-party, unbiased evidence of property conditions and can support early violation notices and dispute records. Surveys are completed by Certified Rental Condition Analysts (CRCA™) credentialed through the NRPS Institute, with detailed records that help document safety-related items such as missing smoke alarms.
How do you assist with owner communications?
We draft and send professional emails explaining the plan’s benefits, including co-branded materials. For non-responders, we manage timed reminders and personal calls. All communication plans are reviewed during onboarding so you retain control of the process.
Can we customize the plan or add optional services?
Yes — customizations are considered case by case so we can stand behind the level of service we deliver. Optional add-ons (dryer vents, HVAC, pressure washing, and more) are priced by property size and needs.
How does the plan help reduce our team’s workload?
By addressing minor items during inspections and managing communication, scheduling, and survey delivery, we reduce escalations that otherwise require contractor coordination or emergency response — freeing your team for higher-priority work.
What happens if an owner opts out, or we want broader adoption?
For new owners, enrollment can be built into your owners agreement. For existing clients, we enroll owners via contract updates. For existing portfolios, we target 75% adoption within 60 days and can assist in transitioning to mandatory participation if that is your goal.
Owners who are not opted into the PMP continue under your existing inspection and maintenance billing processes. After the first year, we often revisit hesitant owners with documented value from the program.

Why is this better than a standard walkthrough?
Field work is performed by Certified Rental Condition Analysts (CRCA™) who complete specialized training and continuing education. That produces deeper documentation, clearer follow-up, and more consistent long-term oversight than ad-hoc or reactive inspections.
What kind of reports will I receive, and how often?
Your property manager receives detailed, photo-documented reports after each biannual inspection and service visit — outlining conditions, actions taken, and recommendations — shared via email or the manager’s portal.
Who performs the services, and what protections are in place?
Services are handled by CRCA™ analysts from Envision Property Services. Analysts are insured professionals who have passed background checks. Liability is limited to the scope of the plan; work outside routine care is handled separately.
What is the value of enrolling in the Preventative Maintenance Plan?
The plan pairs detailed inspections with proactive maintenance so minor issues are identified and addressed early. In one documented case, a long-term tenant’s unit looked fine on routine PM walkthroughs, but CRCA™-level detail later revealed failed shower caulking that had led to extensive dry rot — a rehab exceeding $13,000. Catching that class of issue earlier is the point of the program.
How am I charged for the PMP?
You are billed a fixed monthly fee on your ledger through your property manager. That covers included services without separate invoices for selected minor repairs included in the plan.
Are there optional add-ons?
Yes — options such as annual dryer vent cleaning, HVAC checkups, or pressure washing are available at custom prices based on property size and needs. A pricing list is provided during enrollment.
How does the plan help control maintenance costs?
By catching problems early (for example, cracked caulking or missing downspouts), we help avoid escalations into much larger repairs. Case studies show annual values exceeding $1,400 in services and savings, with 20% discounts on non-included repairs under the plan agreement.
Is the plan mandatory?
Some managers require it for consistent portfolio care. We provide educational materials and direct support to answer questions. The plan is positioned as a value-add that supports documentation, habitability, and clearer owner communication.
Tenants
How will inspections and maintenance visits be scheduled?
You receive at least 24 hours’ notice. In most cases we send a first notice about two weeks before the walkthrough and another the Friday before the inspection week. Visits are planned for minimal disruption, often during business hours.
What can I expect during a visit?
Our team conducts interior and exterior surveys and may perform routine tasks such as checking smoke alarms, tightening drains, and other minor included items. Visits typically last from about thirty minutes up to two hours, with photos and notes for documentation.
What should I do to prepare?
Ensure access to electrical panels, water heaters, HVAC units, basements, and outdoor spaces. Clear clutter from key spots such as under sinks or around vents, and tell us about known issues in advance.
An adult 18 or older must be present at arrival. There is a reschedule fee if we arrive and only minors are present.
What about pets?
Please tell us the type and name of any pets. For safety we prefer dogs off-site or kenneled during visits, especially if you will not be home. Friendly, supervised pets may remain if we are notified in advance.
Will I receive notice of issues found?
Reports go to your property manager and owner. For information about the report, or to request a copy, contact your property manager.
What if I need to reschedule?
The sooner you let us know, the better. There is a fee if we arrive and cannot complete the inspection. Contact your property manager or our team using the details on your notification. We work to accommodate reasonable requests when possible.
What privacy measures are in place?
Our team respects your space and avoids documenting private items when possible. Photos are for documentation and are shared securely with your manager and owner. We adhere to applicable rental laws and keep visits professional and non-intrusive.
