Preventative Maintenance Plan

Your rental is a valuable investment. Beyond screening tenants and staying compliant with landlord-tenant rules, preventative maintenance is what keeps small issues from becoming dry rot, mold, or foundation damage.

Homeowners tend to fix drips and overflowing gutters quickly. Tenants often do not. Left alone, those small problems become expensive ones. We recommend the Preventative Maintenance Plan (PMP) from Envision Property Services so the property gets steady attention instead of reactive repairs.

The PMP sets a predictable rhythm of standardized surveys, documentation, and preventative attention throughout the year — instead of waiting on sporadic inspections or tenant-reported problems. Delivered by CRCA™-certified analysts and aligned with NRPS Institute protocols, it combines routine occupied surveys with consistent Rental Property Condition (RPC) reports and select built-in preventative items performed during scheduled visits at no additional charge.

RPC reports

Rental Property Condition reporting

Each survey produces a comprehensive RPC report completed by a CRCA™ analyst — photographs, detailed notes, and clear flags for urgent vs. follow-up work. The goal is a thorough, actionable record that helps you address both urgent and routine maintenance needs.

What the report includes

  • Photographs — images of inspected areas to document condition
  • Detailed notes — clear descriptions of damage or needed repair
  • Emergency work — immediate issues identified and prioritized
  • Additional work — non-urgent repairs noted for follow-up

Interior condition

We document whether the unit is being maintained to lease standards — general cleanliness and condition, walls, ceilings, floors, doors, windows, appliances and fixtures, electrical systems, HVAC, and other items that need attention. That detail helps you protect the investment and address issues before they escalate.

Exterior condition

Exterior and site observations cover walls and siding, walkways and driveways, garage doors, lighting, yard condition, fences and gates, decks and patios, outbuildings, and other visible items that affect integrity and curb appeal.

Interior maintenance items

Built-in during scheduled visits

These items are included in the PMP and performed during survey visits when needed — at no additional charge under the plan.

Kitchen and bathroom caulking

Kitchen & bathroom caulking

Caulking seals joints against leakage and mold. It cracks and peels over time. Biannual inspection with free removal and re-caulking as needed keeps joints sealed.

Under-sink drain inspection

Under-sink water & drain lines

Lines develop leaks or loose connections. Biannual inspections catch them early, with free tightening and gasket replacement as needed.

Smoke and CO alarm

Smoke & CO alarms

Biannual inspection confirms devices work and batteries are sound, with free replacement as needed* so life-safety coverage stays in place.

*Does not apply to alarms that have been tampered with.

Pacific Northwest package

PMP + PNW seasonal work

The $69 PMP + PNW package adds the seasonal exterior work Pacific Northwest rentals need — included at no additional charge beyond the monthly plan rate.

Gutter cleaning

Annual gutter cleaning

Leaves and debris block drainage and overflow onto roof, siding, and foundation. Annual cleaning keeps gutters and downspouts clear.

Annual roof moss treatment

Moss in damp or shaded areas damages shingles, invites leaks, and shortens roof life. Annual treatment helps limit growth.

Winterization of exterior vents & spigots

Before cold weather: insulating spigots, draining outdoor lines, and covering vents so components stay functional through winter.

Add-ons

Optional extras

Add-ons layer onto the PMP when a property needs more than the built-in set. Pricing depends on size and scope — ask during enrollment.

  • Annual dryer vent cleaning

Clears lint buildup that raises fire risk, improves dryer efficiency, and reduces strain that leads to repairs.

  • Biannual GFCI testing

Confirms outlets trip correctly in moisture-prone areas — kitchens, baths, and outdoor locations.

  • Annual HVAC service checkup

Keeps the system operating efficiently, reduces unexpected breakdowns, and supports consistent comfort.

  • Biannual / quarterly HVAC filter replacement

Tenants rarely change filters on schedule. Regular replacement improves airflow, efficiency, and system life.

  • Annual pressure washing of siding & walkways

Removes dirt, mold, and mildew that shorten exterior surface life and hurt curb appeal.

  • Additional gutter cleaning

Properties with heavy tree cover may need gutters and roof blow-offs twice a year.

  • Basic pest control

Supports a healthier living environment, limits property damage, and helps tenant satisfaction.

  • Basic lawn care maintenance

Keeps curb appeal consistent when tenants are not reliably maintaining the landscape.

FAQ

Frequently asked questions

What is the Preventative Maintenance Plan, and why add it to a property?

The PMP provides consistent preventative care so minor issues are addressed before they escalate. Regular surveys and routine upkeep help preserve condition and value, reduce emergency calls, and support longer tenancies — an affordable, proactive way to protect the investment.

How is the Property Condition Report different from inspections I already do?

Routine walkthroughs often focus on tenant issues or obvious safety concerns. The RPC report is a detailed, in-depth assessment of visible systems and structures — giving a clearer picture of maintenance needs, upcoming repairs, and long-term planning.

What types of maintenance are included?

The plan covers routine preventative items such as caulking, under-sink leak checks, smoke/CO inspection, and — on PMP + PNW — gutter cleaning, roof moss treatment, and winterization. Larger or complex repairs are outside the plan and can be quoted with a discount under your agreement.

How will I be updated?

After each inspection or maintenance visit you receive a detailed report with photos and notes so you can decide on recommended follow-up with clear documentation in hand.

What if a tenant is concerned about visit frequency?

We coordinate visits to minimize disruption and explain that the work keeps the home safer and better maintained. Most tenants appreciate the proactive approach once they understand the benefit to their living environment.

How does the plan support property value or rental appeal?

Regular maintenance helps preserve condition — a key factor in retaining value and keeping homes attractive to current and future tenants. The PMP reduces deferred wear; it does not invent claim-reduction percentages.

Who performs the work?

Envision Property Services field work is completed by CRCA™-trained analysts and maintenance staff who understand rental property needs — licensed, bonded, and insured.
