Occupied Rental Surveys

Envision Property Services conducts twice-yearly occupied rental surveys, completed by CRCA™-certified analysts and documented through a detailed, standardized Rental Property Condition Report (RPC Report). These surveys provide consistent, objective insight into property condition while the home is actively occupied — without relying on subjective notes or one-off walkthroughs.

Surveys follow protocols developed through the NRPS Institute so each inspection uses a repeatable framework. Analysts are trained to observe, document, and report neutrally — without upselling repairs or conflating maintenance needs with tenant behavior.

Most serious property damage develops quietly over time. Twice-yearly occupied rental surveys create a predictable rhythm that helps identify and document small issues before they escalate. The goal is not to create work — it is to prevent surprises.

What we review

Interior and exterior condition

Interior & preventative review

Focused on early indicators of wear, damage, or deferred maintenance that commonly lead to costly repairs if left unaddressed. Where applicable, built-in preventative items included in the Preventative Maintenance Plan are addressed during the visit at no additional charge.

  • Plumbing fixtures and visible leak indicators
  • Electrical outlets, switches, and safety components
  • Walls, ceilings, flooring, doors, and trim
  • Kitchens and bathrooms, including moisture-prone areas
  • Smoke and carbon monoxide compliance checks
  • General habitability and safety observations

Exterior & envelope

Protecting the building envelope — water intrusion, drainage, and exterior deterioration are among the most expensive long-term damage categories. These observations catch slow-developing issues that often go unnoticed between vacancies.

  • Roofing surfaces and visible penetrations
  • Gutters, downspouts, and drainage pathways
  • Siding, trim, and exterior penetrations
  • Caulking and sealant condition
  • Walkways, railings, and exterior safety concerns
  • Vegetation or grading issues impacting structures

RPC report

Standardized documentation

Each occupied survey results in a comprehensive Rental Property Condition Report — a verifiable record of condition at the time of inspection. Reports are photo-documented and time-stamped, structured with standardized categories, written in neutral language, and consistent across properties and cycles. That documentation supports maintenance planning, clearer owner communication, and stronger long-term asset oversight.

FAQ

How is the Property Condition Report different from inspections I already do?

Routine walkthroughs often focus on tenant issues or obvious safety concerns. The RPC report is a detailed assessment of visible systems and structures — useful for maintenance planning and clearer owner communication.

How will I be updated after a survey?

You receive a detailed report with photos and notes after each visit so recommended follow-up is documented, not left to memory.
